How to handle fixed monthly salaries in Frontliners

How to handle fixed monthly salaries in Frontliners

If you have employees on fixed monthly salary contracts (e.g. a restaurant manager earning a set amount per month regardless of hours worked), the system needs some setup to correctly track costs and statistics.

The workaround: Roles and calculated hourly rates

Since Frontliners calculates costs based on shifts and hourly rates, you need to convert the fixed salary into an hourly rate:

  1. Calculate the hourly rate — Divide the monthly salary by the expected monthly hours.
    Example: 45,000 DKK ÷ 160 hours = 281.25 DKK/hour
  2. Create a dedicated role — Go to Staff → Roles and create a new role for the fixed-salary work (e.g. "Admin" or "Management"). Set the hourly salary to the calculated rate.
  3. Create shifts that match the monthly hours — Add shifts under this role that represent the hours the location should be accountable for. The system will then correctly calculate and display staff costs.
  4. Set other roles to zero salary — If the employee also works regular shifts (e.g. Front of House), set the salary on those roles to 0 DKK. This way the fixed salary is not counted twice.

Optional: Keep admin shifts unpublished

If you do not want other employees to see the management/admin shifts in the schedule, you can keep them unpublished. They will still count towards cost calculations but will not be visible to staff.

Splitting salaries across departments

If an employee’s salary needs to be split across departments, create separate roles for each:

Example: An employee earns 45,000 DKK/month total — 25,000 for Front of House and 20,000 for Admin.

  1. Create a "FOH Management" role with the hourly rate based on 25,000 DKK
  2. Create an "Admin" role with the hourly rate based on 20,000 DKK
  3. Add shifts under each role matching the expected hours

This way, costs are correctly attributed to each department.

What about overtime?

If a fixed-salary employee works more hours than planned, the extra shifts will show as additional cost. The system calculates based on all registered shifts.
